Scope
This policy applies to Top Notch Casting LLC’s website, communications, talent applications, producer inquiries, and casting-service operations. It does not replace a separate audition consent, producer agreement, performer agreement, release, identity-verification notice, or health-data consent.
Information we collect
We may collect names, stage names, contact details, date of birth, city and state, experience, interests, availability, producer and project details, communications, technical and security logs, and photos or documents intentionally submitted through the application. Do not upload government identification, medical information, STI records, financial information, or explicit material through the public application.
Identity and health information
If a legitimate opportunity later requires identity verification or limited testing-status verification, we will use a separate secure process and provide an appropriate notice or consent first. Where practical, we will retain only verification status, date, and expiration—not the underlying ID or medical document. Consumer health data is governed by our separate Consumer Health Data Privacy Policy.
How we use information
We use information to review applications and inquiries, conduct non-explicit auditions, evaluate potential fit, create candidate shortlists for legitimate producers, communicate with you, verify eligibility when authorized, maintain security, prevent abuse, comply with law, and establish or defend legal claims. Applying does not guarantee review, selection, work, compensation, or representation.
How we disclose information
We may disclose information to hosting, database, private-storage, security, authentication, email, verification, and professional-adviser service providers; to a legitimate producer when relevant and appropriately authorized; at your direction; or when required for law, safety, fraud prevention, or a business transaction. A submission is not automatically shared with producers. We do not sell personal information or share it for cross-context behavioral advertising.
Casting-service relationship
Top Notch is a producer-paid casting service. We do not represent talent through the website, employ performers for producers, negotiate performer compensation as their agent, direct productions, or pay performers. Producers independently select, contract with, direct, and compensate performers.
Cookies and technical data
We use essential cookies and similar technology for the age acknowledgement, authentication, session management, fraud prevention, and security. Hosting and infrastructure providers process technical logs to deliver and protect the service. We currently do not use behavioral-advertising cookies.
Retention
Our targets are up to 24 months after the last substantive interaction for general inquiries and casting submissions; up to 12 months for security logs; and up to 90 additional days for routine backup deletion. If separately collected later, raw ID copies should ordinarily be deleted within 90 days after verification and raw medical or STI documents within 30 days after the relevant determination, unless law, a contract, a dispute hold, or documented safety need requires longer retention.
Security
We use safeguards designed for the sensitivity of the information, including encrypted transmission, private storage, role-based administrator access, and expiring private-file links. No system is completely secure. Contact us promptly if you believe information was submitted improperly or compromised.
Your rights
Subject to applicable law and identity verification, you may request access, correction, deletion, portability, withdrawal of consent, information about recipients, or an appeal of a denied request. We extend these core request options to U.S. residents subject to reasonable legal, security, and recordkeeping exceptions. We will not unlawfully discriminate against you for exercising privacy rights.
California notice
California residents may have rights to know, access, correct, delete, limit certain uses of sensitive information, opt out of sale or sharing, and receive equal service. We do not sell or share personal information for cross-context behavioral advertising and do not knowingly collect information from minors.
Adults only
The service is intended only for adults age 18 or older. If you believe a minor submitted information, contact us immediately so we can investigate and delete it as appropriate.
Requests, appeals, and contact
Email info@topnotchcasting.com with the subject “Privacy Request.” Include the email associated with the submission and describe the request. We may request limited information to verify identity. To appeal a denial, reply with the subject “Privacy Appeal.”
Changes
We may update this policy to reflect legal, operational, or technology changes. We will post a revised date and provide additional notice when required. Material changes apply prospectively unless law permits otherwise.
